The challenge

Despite Contractbook’s strengths, we uncovered a critical weakness: during negotiations, users often switched to traditional redlining tools, which reduced platform stickiness.

Negotiations moved offline
Users frequently exported contracts to Word or Google Docs to redline them, breaking collaboration inside Contractbook.

Loss of visibility
Once negotiations left the platform, legal teams struggled to track changes and maintain a single source of truth.

Fragmented contract lifecycle
Switching between tools disrupted workflows and reduced the value of Contractbook’s end-to-end approach.

Risk of churn
The lack of a robust negotiation experience became a key reason for dissatisfaction, driving users toward external tools.

My Role

I led product design as part of a cross-functional team, working closely with the product manager, tech lead, and developers. My role was to translate user needs into an intuitive redlining experience that improved collaboration while aligning with technical constraints.

The process

We followed a lean, experiment-driven approach to quickly uncover insights, validate ideas, and refine solutions. The work combined user research, rapid prototyping, and continuous testing to ensure we stayed focused on what truly mattered.

Research
We analyzed customer success tickets, conducted stakeholder and user interviews, and performed a competitive analysis to map negotiation pain points.

Framing opportunities
Through an Opportunity Solution Tree exercise, we identified the most impactful areas to address, helping the team prioritize for quick but meaningful wins.

Mapping flows
I created user flows from both sender and receiver perspectives to clarify how negotiations should unfold in-platform. This helped align scope and ensured intuitive navigation.

Design exploration
I explored a wide range of concepts, balancing usability with legal accuracy. We iterated through wireframes and prototypes, validating them with users to refine the solution.

The solution

The main challenge was balancing user needs with technical limitations. To deliver immediate value while building toward a long-term vision, we introduced an interim solution that kept negotiations inside Contractbook:

  • Suggested changes

  • Private comments for internal collaboration

  • Streamlined pathways for reviewing and accepting edits

This phased approach allowed us to address urgent pain points while refining a live prototype for a more robust final solution.
